This Privacy Policy explains what information we collect, why we collect it, how we use and protect it, and what your rights are.

When you visit our website, we and our third-party partners may automatically collect:

IP address and approximate location (country/city)

Device type and operating system
Pages visited, time on site, and referral source
Clicks and interactions with site elements

This information is collected via cookies and similar tracking technologies, including Google Analytics and Google Ads (see Section 6).

2.3 Information We Do Not Collect

We do not collect payment card numbers, banking details, or any sensitive personal information (as defined in POPIA) such as race, health information, or biometric data through this website.

4. Legal Basis for Processing

Under POPIA, we process your personal information on the following grounds:

5. Sharing Your Information

We do not sell, trade, or rent your personal information to third parties. We may share your information with:

Our team members who need it to fulfil your booking or service request.
Email service providers used to send booking confirmation emails.
Analytics providers (Google Analytics, Google Ads) for website performance measurement — see Section 6.
Accounting platform (Intuit QuickBooks Online) — where our QuickBooks integration is connected, client contact details (names, company names, email addresses, phone numbers) and invoice and payment records are synchronised to Intuit Inc.'s QuickBooks Online service for bookkeeping purposes. Legal or regulatory authorities where required by law or court order.

Any third parties with whom we share your information are required to keep it confidential and may only use it for the specific purpose for which it was shared.

6.1 Google Analytics

We use Google Analytics to understand how visitors use our website. Google Analytics collects anonymised data about sessions, pages viewed, and traffic sources. This data is processed by Google LLC. You can opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on.

6.2 Google Ads (Google Tag)

We use Google Ads conversion tracking (tag ID: AW-709384434) to measure the effectiveness of our advertising campaigns. This may involve setting cookies on your device. Google's privacy policy is available at policies.google.com/privacy.

6.3 Managing Cookies

7. Data Retention

We retain your personal information only for as long as necessary to fulfil the purposes for which it was collected, or as required by law. Specifically:

Booking and enquiry records are retained for a minimum of 5 years for business and tax compliance purposes.
Marketing consent records are retained until you withdraw consent.
Analytics data is subject to Google's retention policies.

8. Security

We implement appropriate technical and organisational measures to protect your personal information against unauthorised access, loss, alteration, or disclosure. Our website uses HTTPS encryption for all data transmissions.

While we take reasonable precautions, no method of transmission over the internet is completely secure. We cannot guarantee absolute security of information transmitted to our website.

As a data subject under POPIA, you have the right to:

10. Cross-Border Data Transfers

Some of our third-party service providers (including Google and Intuit Inc.) are located outside South Africa. When we transfer your personal information to such providers, we ensure appropriate safeguards are in place in accordance with POPIA's requirements for cross-border transfers.

11. Google & YouTube API Integration

3-Axis Studios operates an internal staff booking and operations portal, 3AxisLivestreams, which our team uses to produce the funeral, church-service and event livestreams we deliver for clients. As part of that portal, we integrate with Google and YouTube API Services so an authorised member of our team can set up a YouTube live broadcast for a booking directly from the portal. This section explains exactly what Google/YouTube data we access, how we use, store and protect it, and how access can be revoked.

11.1 Which Account Connects

The integration connects 3-Axis Studios' own YouTube channel, authorised once by a member of our team via Google sign-in (Google OAuth 2.0). It is used only by authorised 3-Axis Studios staff. It does not connect to, access, request, or collect any client's, viewer's, or other end user's YouTube or Google account or data.

11.2 What Google Data We Access, and Why

3AxisLivestreams uses the YouTube Data API v3 with the OAuth 2.0 scope https://www.googleapis.com/auth/youtube.force-ssl. We request this permission for our own connected channel and use it solely to:

Create, schedule and configure a live broadcast (its title, description and start time) on the 3-Axis Studios channel for a specific client booking;
Create the matching live stream / ingestion (stream) key and bind it to that broadcast so our production crew's encoder can go live;
Read back the resulting broadcast details — such as the watch link and stream status — needed to run the event.

The data we access consists of the YouTube channel, live broadcast, live stream and video resources belonging to the 3-Axis Studios account that was connected. A read-only permission is not sufficient because creating and configuring broadcasts and stream keys is a write operation, and youtube.force-ssl is the minimum scope the YouTube Live Streaming API requires for those actions. We do not access, read, or collect any other channel content for any unrelated purpose.

11.3 How This Data Is Used

We use the Google/YouTube data described above only to operate the livestream feature of our staff portal — that is, to schedule a broadcast for a booked event, generate and display the stream key and ingest settings our crew enters into their encoder, and show staff the resulting YouTube watch link. We do not use this data for advertising, profiling, analytics beyond operating the broadcast, credit or lending decisions, or any purpose unrelated to delivering the booked livestream. We do not allow any person to read this Google data except with explicit consent, where necessary for security or to comply with law, or where it has been aggregated and anonymised for internal operations.

11.4 Sharing, Transfer and Sale

We do not sell, rent, or transfer Google/YouTube data to third parties such as advertising platforms, data brokers, or information resellers. We do not use it for serving advertisements (including retargeting or personalised advertising), for credit or lending purposes, or to develop or train generalised AI or machine-learning models. We share this data only with the Google/YouTube API itself, as needed to provide the livestream feature, or where required by law, for security purposes, or in connection with a business transfer made with appropriate consent. Because the connected channel is 3-Axis Studios' own channel, no third-party client or end-user Google data is involved.

11.5 Storage, Retention and Security

To keep our own channel connected between sessions, we securely store the OAuth access and refresh tokens Google issues for the 3-Axis Studios account, together with the identifiers and settings of the broadcasts we create (for example broadcast IDs, stream keys and watch URLs). These are held on access-controlled servers and are accessible only to authorised 3-Axis Studios staff. On disconnection or revocation, we delete the stored OAuth tokens and the associated broadcast data. We retain this data only as long as needed to run and reconcile the relevant bookings, and no longer than necessary under POPIA.

11.6 Revoking Access and Requesting Deletion

The connected 3-Axis Studios YouTube/Google account can revoke this application's access at any time from the Google Account third-party access page at myaccount.google.com/permissions. On revocation we stop accessing the account and delete the stored OAuth tokens. To request deletion of any data we hold in connection with this integration, contact us at [email protected] and we will delete it within a reasonable period, subject to any legal retention obligations under POPIA.

11.7 Limited Use & Compliance

3-Axis Studios' use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

This application uses YouTube API Services. By using the YouTube livestream features of our portal you agree to be bound by the YouTube Terms of Service, and you acknowledge the Google Privacy Policy. Further detail about the app and this integration is available on our app information page.

12. Children's Privacy

Our website and services are not directed at children under the age of 18. We do not knowingly collect personal information from minors. If you believe a child has provided us with personal information, please contact us immediately at [email protected].

13. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. We encourage you to review this policy periodically. Continued use of our website after changes constitutes acceptance of the updated policy.
